PDF to Shopify order: turning a PDF purchase order into a draft order
Most wholesale purchase orders still arrive as a PDF attached to an email. Going from that PDF to a Shopify order usually means a person reads the file and rebuilds it line by line as a draft order. This guide is for the wholesale or operations manager who does that job: why PDFs are awkward, the steps that keep the order right, and when it's worth handing the reading to software.
Key takeaways
- Shopify has no built-in way to import a PDF as an order. A PDF PO becomes a Shopify order when someone (or an app) reads it and creates a draft order from it.
- There are two kinds of PDF PO: text PDFs exported from a buyer's system, where you can select the words, and scanned PDFs, which are pictures of paper. Scans need reading by eye or by a text-recognition tool.
- Whatever reads the PDF, check four things before you invoice: every item matched to the right variant, quantities in the right unit (eaches, cases or prepacks), prices against your wholesale price, and the ship and cancel dates.
Why can't Shopify just import the PDF?
A PDF is made for people to read and print, not for software to load. Shopify can import products and customers from CSV files, but an order needs every line tied to an exact product variant in your store, and a buyer's PDF doesn't know your variant names or SKUs. The buyer writes "Lavender 8oz, 2 cases" or "Style 1042 Navy S-XL"; Shopify needs the one variant that means. That matching step is the real work, and it's why PDF to Shopify order is a reading job before it's an entry job.
A Shopify draft order is the usual place a wholesale PO lands. It holds the items, quantities, customer, prices and notes, and you can edit it before you send an invoice or mark it as paid. If you're new to them, see how to turn a wholesale purchase order into a Shopify draft order.
Text PDF or scanned PDF?
Open the PO and try to select a word with your cursor.
| Text PDF | Scanned PDF | |
|---|---|---|
| Where it comes from | Exported from the store's buying or accounting software | A printed or handwritten form, scanned or photographed |
| Can you select the words? | Yes | No, the page is one picture |
| Copy and paste | Works, but tables often paste out of order | Doesn't work without text recognition (OCR) |
| Common surprises | Columns that wrap onto two lines, totals mixed into the item list | Handwriting, crossed-out lines, numbers in the margin |
Why copy and paste from a PDF breaks
Copying a table from a text PDF feels like it should work, and it often almost does. The usual problems:
- Columns jump. The PDF stores text in the order it was drawn, so the quantity of one line can paste next to the item of another.
- Long descriptions wrap. A two-line item name becomes two rows, and the second row has no quantity.
- Size runs spread across columns. An apparel PO with S, M, L and XL columns pastes as a row of bare numbers that only make sense with the header.
- Page breaks repeat headers and sometimes split one item across two pages.
- Totals and notes look like lines. "Freight", "Subtotal" or "Please ship complete" can end up pasted as items.
Step by step: from a PDF PO to a Shopify draft order
Here is a short PO used as an example. Example only: the store, items and prices are made up.
| Buyer's item | Qty | Unit | Unit price |
|---|---|---|---|
| Cedar & Sage candle 8oz | 2 | Case of 6 | $9.00 |
| Citrus hand soap 12oz | 24 | Each | $5.50 |
| Gift box, small | 1 | Case of 12 | $3.00 |
- Read the header first. Note the PO number, the store (bill to and ship to), the payment terms, and the ship and cancel dates. These go on the draft order's customer, addresses and notes.
- Find or create the customer in Shopify, so the order sits with the right store and its address.
- Match each line to one variant. Use the buyer's style number or your SKU if it's on the PO; otherwise match on name plus option (scent, size, color, flavor, weight).
- Convert the unit. "2 cases of 6" is 12 candles if you sell each candle as a variant, or 2 if you sell the case as its own variant. Decide once how each product is sold and stick to it.
- Check the price. If the buyer's price differs from your wholesale price, don't silently accept either one. Use your price list, or note the difference and confirm with the buyer.
- Add notes: the PO number, the ship and cancel dates, and any special instructions such as "ship complete".
- Compare totals. The draft order's item total should match the PO's merchandise subtotal before freight and tax. If it doesn't, a line was missed or a unit was converted twice.
- Save the draft, then send the invoice or confirmation when it's right.

Handling scanned and photographed PDFs
Scans are where retyping is slowest and mistakes are easiest. A few habits help:
- Ask buyers for the exported PDF when they have one; many store systems can send it.
- Zoom in on quantities and handwritten edits before you enter anything. A crossed-out 6 with a 4 beside it means 4.
- If a line is unreadable, ask the buyer. Guessing a quantity costs more than a one-line email.
- Keep the original PDF attached to the order or saved with the PO number, so anyone can check it later.
When should you stop converting PDFs by hand?
Hand entry is fine for a few POs a month. It starts to hurt when POs arrive in bunches after a trade show, when every buyer uses a different layout, or when your products have many options so each PO has dozens of lines. Signs it's time for help: orders wait days to be entered, the same person is the only one who can do it, or you find mistakes after the order ships.
Orderseam is one option built for this: you forward the buyer's email or upload the PDF, text or scanned, and it reads each line, matches it to your catalog and creates a Shopify draft order once you approve it. Lines it isn't sure about, like an unknown item or an unreadable quantity, are flagged for a person to decide.
Common questions
- Can I import a PDF purchase order into Shopify?
- Not directly. Shopify has no built-in PDF order import. A PDF purchase order becomes a Shopify order when a person or an app reads it, matches each line to a product variant, and creates a draft order from it.
- How do I tell if a PDF PO is a scan?
- Try to select a word with your cursor. If you can select the text, it's a text PDF exported from the buyer's system. If the whole page selects as one picture, it's a scan and needs reading by eye or with text recognition.
- What should I check before turning a PDF PO into an invoice?
- Check that every item is matched to the right variant, that quantities are in the right unit such as eaches, cases or prepacks, that prices match your wholesale price, and that the ship and cancel dates are on the order.
