Your data
How Orderseam handles your data: POs, catalog and buyer details
Before you forward a store's purchase order to any tool, you should know where it goes. This page explains Orderseam data privacy in plain words: what Orderseam (also searched as "Order Seam") stores, which service providers touch it, who on our side can see it, how long it is kept, and what we never do with it. The full legal version is our privacy policy; this is the short tour.
Key takeaways
- Orderseam uses your POs, catalog and buyer details only to run the service for you: never sold, never shared for ads, never mixed with other brands' data, never used to train AI.
- A short list of named providers handles the data: an AI model reads documents, Netlify hosts and stores, Postmark sends email, Shopify holds your drafts. All are listed in the privacy policy.
- Your order data is deleted within 30 days after you leave, or 48 hours after uninstalling the Shopify app, and you can ask for deletion sooner.
What data does Orderseam store?
To turn a buyer's PO into a Shopify draft order, Orderseam needs three kinds of data:
| Data | What it includes | Why it's needed |
|---|---|---|
| Purchase orders | The original file or email, plus the lines read from it: buyer and store name, contact, ship-to, PO number, dates, items, quantities, prices | To build the draft order and show you what the PO said |
| Your catalog | Products, options (size, scent, flavor, pack size), SKUs, prices, stock, kits | To match each PO line to the right variant |
| Your work in Orderseam | Drafts, invoices, clients, settings, and the buyer shorthand it learns when you correct a line | So the next PO from the same store needs fewer corrections |
It doesn't need card numbers, bank details or your Shopify password, and it never asks for them.
Which service providers handle it?
Like any web app, Orderseam runs on a few outside services. Saying "no third party ever touches your data" would be untrue for almost any software, so here is the actual list for order and account data:
- Anthropic (the AI model, Claude) reads the text, tables and handwriting in order documents. Its commercial terms don't allow it to train on that content.
- Netlify hosts the website and app and stores your POs, files, drafts and settings, encrypted at rest.
- Postmark receives the PO emails you forward and sends Orderseam's emails: login codes, PO notices, buyer confirmations, invoices and reminders.
- Shopify holds your store data and the draft orders Orderseam creates, and bills App Store installs.
- Stripe handles subscription payments for brands that sign up directly.
Section 7 of the privacy policy is the complete list. Before adding or replacing a provider that handles order data, we update that list and email active brands first.
What can Orderseam do in your Shopify store?
Only what it needs. It reads products, stock levels and customers (to match the buyer on a PO to a customer in your store) and creates draft orders. It doesn't confirm orders, charge anyone, change your products or change stock. When you install the app, Shopify shows you this list before you agree, so you can check it yourself.
Who on our side can see your POs?
Only the people who run Orderseam, and only to provide and support the service, for example when you ask us to check a PO that didn't read well. Every look at a brand's POs is written to an access log, kept for a year. Each brand's data is kept separate from every other brand's.
What is never done with your data?
- It's never sold, and never shared for advertising.
- It's never combined with other brands' data.
- It's never used to train any AI model, ours or anyone else's.
- Nothing is sent to a store without your approval, unless you turn on autopilot for buyers you choose.
How long is it kept, and how do you delete it?
- While you use Orderseam: your POs, catalog, drafts and invoices are kept so you can work with them.
- When your trial or plan ends: we disconnect from your store and delete your order data within 30 days, unless you ask us in writing to keep it.
- If you uninstall the Shopify app: the store's access token is deleted at once, and all of that store's data is deleted when Shopify sends its deletion request 48 hours later.
- Any time: you can ask us to delete it sooner.
Billing and tax records are the exception: those are kept as long as tax law requires. Draft orders already in your Shopify store stay there, under your control.
What about your buyers' details?
For your buyers' data, Orderseam works as your processor: you decide what's handled and why, and we follow your instructions. If a buyer asks your store for their data, or asks you to delete it, we help you answer. If your law requires a written data processing agreement, we'll sign one with you on request.
How to check all this yourself
- Read the access list Shopify shows when you install.
- Read the privacy policy, especially sections 5 (AI), 7 (providers) and 10 (how long we keep it).
- Try it first with one old PO you've already shipped, and see exactly what Orderseam keeps.

Common questions
- Does Orderseam use my orders to train AI?
- No. Orderseam doesn't use your orders, catalog or buyers' details to train any AI model, and the provider of the AI model that reads your documents isn't allowed to train on them under its commercial terms.
- Who can see the purchase orders I send to Orderseam?
- Only the people who run Orderseam, only to provide and support the service, and every look at a brand's POs is written to an access log. Your data is never sold, shared for advertising or combined with other brands' data.
- How do I delete my data from Orderseam?
- Uninstall the Shopify app and the store's data is deleted when Shopify sends its deletion request 48 hours later. If you signed up directly, your order data is deleted within 30 days after your plan ends, and you can ask through our contact form to have it deleted sooner.
