For coffee roasters
Coffee orders by roast, grind and bag size, typed into Shopify for you
Cafés, grocers and gift shops order coffee in spreadsheets, emails and PDFs, each with their own way of writing roast, grind and bag size. Orderseam turns each order into a Shopify draft order with every line matched to your variants, and flags anything it can’t be sure of.

What your buyers’ POs look like
- Roast and grind in one cell: “Dark - Whole Bean”, “Medium/Ground”
- Bag sizes written every which way: 12 oz, 12oz, 2 lb, 5 lb
- Cases of retail bags (“2 cs/12”) next to single bulk bags
- Your full SKU pasted in as the item number
- Add-on pantry items, like syrups, honey or snacks, on the same order
A sample order, line by line
From a made-up Excel order from a grocer to a made-up roaster. Each line shows what the buyer wrote, what Orderseam put on the Shopify draft order, and why.
| Buyer wrote | On the draft order | Result |
|---|---|---|
4101 | Morning Ridge Coffee | Dark - Whole Bean | 12 oz | 12 | Morning Ridge Coffee / Dark / 12 oz / Whole Bean × 12 | Matched Roast, grind and bag size each matched |
4101 | Morning Ridge Coffee | Medium/Ground | 12oz | 6 | Morning Ridge Coffee / Medium / 12 oz / Ground × 6 | Matched “12oz” with no space reads the same |
4101 | Morning Ridge | Dark - Whole Bean | 2 lb | 4 | 24.00 | Morning Ridge Coffee / Dark / 2 lb / Whole Bean × 4 | Matched The 2 lb bag’s own wholesale price is used, not the 12 oz price |
4101 | Morning Ridge | Dark - Ground | 5 lb | 2 | Not added | Flagged for you You don’t sell a 5 lb bag, so you decide |
Nothing goes to the buyer until you approve the draft. Flagged lines wait for you, and you can fix any line before you approve.
What Orderseam handles
- Roast, Grind and Weight options, in whatever order your store lists them
- A different wholesale price for each bag size
- Cases of bags, as units or as your case-pack variant
- Stock checks: short items can go on a backorder draft, or the order can wait to ship complete
- Lot numbers and roast or best-by dates written on a PO are carried onto the draft order and invoice
It works with POs as PDFs, Excel, Word or CSV files, email text and phone photos, and alongside the wholesale or B2B app you already use. From an approved order it can also make the Net-terms invoice and send payment reminders. See how it works.
What your store needs
Products with options such as Roast, Grind and Weight (or Size), a SKU on each variant and your wholesale prices. Our team sets up the matching with you, including the nicknames your buyers use.
Not handled yet
- Price per pound or catch weight, where the invoice depends on the weight actually shipped.
- Tracking lots and roast dates in your stock. Lot numbers on a PO are copied onto the order, not tracked.
- EDI orders from big-box retailers.
Anything Orderseam can’t read with confidence is flagged for you, never guessed. The full list for every category is on our home page.
How we test it
Our food and drink test PO is an Excel order with coffee in two roasts, two grinds and two bag sizes, plus pantry items sold by the case: 10 order lines. All 10 match today. It’s our own test set of made-up orders, rerun on every change, not customer results. Read more about how we test.
Common questions
- Can Orderseam tell whole bean from ground?
- Yes, when grind is an option on your product. “Dark - Whole Bean” and “Medium/Ground” are split into roast and grind and matched to the right variant. If a PO doesn’t say which grind, the line is flagged for you to choose.
- What if a café orders a bag size we don’t sell?
- The line is flagged and left off the draft until you decide. Orderseam never swaps a 5 lb order for two 2 lb bags or any other size on its own.
- Do you handle price per pound for bulk coffee?
- Not yet. Bags with a fixed weight and price work today. Billing by the weight actually shipped (catch weight) isn’t supported yet.
