For specialty food and drink brands
Grocery and gift shop orders, cases and all, typed into Shopify for you
Grocers, delis, cafés and gift shops order snacks, sauces, sweets and drinks by the case, in spreadsheets, emails and PDFs. Orderseam turns each order into a Shopify draft order with every flavor, size and case matched, and flags anything it can’t be sure of.
Test it with one of your old POs
Create a free account and send us one grocery or gift shop order you’ve already received. Our team reads it against your products and emails you the Shopify order it makes. No card, no contract, and your first 10 POs are free.
What your buyers’ POs look like
- Cases written many ways: “3 cs”, “2 cs/12”, “case of 6”
- Flavors close to yours but not quite, like “Maple Pecan” for Maple
- Net weights in oz, lb, g and kg
- Your full SKU pasted in as the item number
- Deliver-by dates, and lot or best-by notes from the buyer
A sample order, line by line
From a made-up Excel order from a grocer to a made-up pantry brand. Each line shows what the buyer wrote, what Orderseam put on the Shopify draft order, and why.
| Buyer wrote | On the draft order | Result |
|---|---|---|
4104 | Sea Salt Caramels | Espresso | 2 cs/12 | Sea Salt Caramels / Espresso × 24 | Fixed 2 cases of 12 is 24 units |
Honey Oat Granola | case of 6 | 3 cs | Honey Oat Granola / 6 Pack × 3 | Fixed Three of your 6 Pack variant, matched by name |
4103 | Wildflower Honey | 16 oz | 12 | Wildflower Honey / 16 oz × 5, and 7 on a backorder draft | Fixed Only 5 in stock |
PH-4104-SEA | 12 | Sea Salt Caramels / Sea Salt × 12 | Matched The full SKU names the flavor |
4104 | Caramels | Maple Pecan | 12 | Not added | Flagged for you Maple Pecan isn’t your Maple, so you decide |
Nothing goes to the buyer until you approve the draft. Flagged lines wait for you, and you can fix any line before you approve.
What Orderseam handles
- Flavor, Size, Weight and Pack size options under whatever names your store uses
- “2 cases of 12” as 24 units, or as your case-pack variant
- Single-item products with no options
- Stock checks: short items go on a backorder draft, or the order waits to ship complete
- Lot numbers, best-by dates and shelf-life notes written on a PO are carried onto the draft order and invoice
It works with POs as PDFs, Excel, Word or CSV files, email text and phone photos, and alongside the wholesale or B2B app you already use. From an approved order it can also make the Net-terms invoice and send payment reminders. See how it works.
What your store needs
Products with options such as Flavor, Weight or Pack size, a SKU on each variant and your wholesale prices. A case can be its own variant. Our team sets up the matching with you, including the nicknames your buyers use.
Not handled yet
- Price per pound or catch weight, such as cheese or meat billed by the weight shipped.
- Tracking lots and expiry dates in your stock. Lots written on a PO are copied onto the order, not tracked.
- EDI orders (850s) from big-box grocers and distributors.
Anything Orderseam can’t read with confidence is flagged for you, never guessed. The full list for every category is on our home page.
How we test it
Our food and drink test PO is an Excel order with coffee, granola sold by the case, honey that’s short on stock and caramels in three flavors: 10 order lines. All 10 match today. It’s our own test set of made-up orders, rerun on every change, not customer results. Read more about how we test.
Common questions
- Does Orderseam handle cases?
- Yes. “2 cs/12” becomes 24 units, or two of your case-pack variant if you sell cases as their own variant. The draft shows how the case was read.
- Can it carry lot numbers and best-by dates?
- Lot numbers, best-by dates and shelf-life notes written on a PO are copied onto the draft order line and the invoice. Tracking lots and expiry in your stock isn’t supported yet.
- Do you support EDI or price per pound?
- Not yet. Orders need to arrive as a file, an email or a photo, and products need a fixed price per unit or case.
